Scope of Position

Responsible for supporting the daily procurement function as it relates to all things purchasing. Build and maintain relationship with vendors or suppliers, strategically source quality materials and services at lowest total cost and negotiate contracts for more complex purchase order. Efficiently and accurately produce and maintain purchase orders and develop key cross functional relationships with the field organization. Duties also will include, but not be limited to, assisting with project management, project tracking, central file organization and overall P2P purchasing process. 

Essential Functions:

  • Prepare, process and manage purchase orders and documents in accordance with company policies and procedures. Includes PO changes, updates and confirmations. 
  • Communicate with vendors regarding POs; establish lead times and/or order status.
  • Source for new parts, suppliers and/or subcontractors when the need arises
  • Research and resolve differences related to quantity and quality of products ordered versus quantity and quality
  • Assist in researching PO related inquiries.  Ensure all change orders are properly documented and processed.
  • Problem solve order discrepancies and resolve all invoice issues with accounts payables where price or terms do not agree with the purchase order and receipt.
  • Run reports on open purchase orders, aged POs, and invoices on hold and work with relevant internal stakeholders to resolve. 
  • Lead frequent meetings with field organization such as Operations, Customer Service, Warehouse, Accounting, etc.
  • Act as a liaison between the requestor, project manager, vendor and/or accounting
  • Maintain relationships with vendors and suppliers
  • Perform other duties as needed

Minimum Qualifications:

  • High School Diploma or GED
  • 3+ years of purchasing experience working within a computerized business platform

Preferred Qualifications:

  • Associate Degree or Bachelors Degree
  • Flexibility to work well in a dynamic, sometimes stressful and demanding team environment
  • Strong interpersonal skills and ability to deal effectively with all levels of employees and management
  • Ability to analyze and evaluate data. High level of attention to detail
  • Good communication (oral and written), analytical and problem-solving skills
  • Experience using Microsoft products (advanced experience in Excel and Outlook)
