KEY RESPONSIBILITIES:
Perform all department work schedules, tracking of labor and expense cost, processing work orders, contracts charges, billings to customers and payment accounting for the department: include assisting the service manager and /or work independently under the direction of the business manager in performing any other designed work.
- Work very closely with service manager on a daily basis
- Manage customer and client communications for work schedule and maintain a positive and productive working relationship.
- Schedule and document all department commitments for repairs, maintenance, and installation.
- Schedule 2 weeks in advance with day to day adjustments as necessary to accommodate scheduled work load.
- Schedule customer onsite training as requested.
- Schedule 24 hours emergency service team and assist emergency service contracted customers as required (On Call Schedule)
- Communicate with field to determine the status of the project they are working on and know each Tech working location all the time.
- Provide pricing upon request for parts and /or company resources in a timely manner.
- Assist in the local monthly branch service agreement renewal process and book in ERP within 30 days of expiration
- Ensure all preventive maintenance visit are scheduled and performed for each service agreement.
- Notify customers of scheduled PM dates visits
- Log and track all service work orders, and reconcile all open tickets for dispositions.
- Invoice customer in a timely manner target 30 day or less DTI.
- Work with collection department for collecting invoice and resolving disputes.
- Microsoft office products experience is a must.
- Microsoft Dynamics Software experience is a PLUS.
Required Qualifications:
- Associates Degree
- 5+ years’ experience in an administrative/marketing coordinator role.
Preferred Qualifications:
- Accounting, purchasing, receivables, and AIA billing experience preferred
- MS Dynamics/ERP experience a plus
- Proficient in Microsoft Office software, including Word, Excel, Outlook, PowerPoint, and Access
- Excellent written and verbal communication skills
- Ability to work without close supervision
- Good time management skills
- Able to manage multiple competing priorities successfully
