About this role

This position is for a senior Administrative Support coordinator who is under moderate supervision. Solves moderately complex problems and assists lower level staff in gathering, verifying and processing documentation. May assist in recommending, developing and implementing new processes and analysis.

Key Responsibilities:

  • Works under moderate supervision to perform clerical activities.

  • Responds to moderately complex email and phone inquiries.

  • Assists lower level staff in gathering, verifying and processing documentation.

  • Verifies data entry and monitors the maintenance of records.

  • Generates and suggests updates to reports prepared for management.

  • May assist in recommending, developing and implementing new processes and analysis.

Required Qualifications:

  • High School Diploma with 5+ years of experience in customer service OR Associates degree with 2+ years of experience in customer service.

Preferred Qualifications:

  • Prior experience in service management or dispatching, with a focus on coordinating field operations and managing work orders.

  • Strong interpersonal and communication skills, with the ability to build relationships with customers and field teams.

  • Customer-focused with the ability to address customer needs promptly and empathetically.

  • Detail-oriented, with experience in tracking and organizing service contracts, billing, and work orders.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for scheduling, documentation, and communication.

  • Strong problem-solving abilities and experience with process improvements.

  • Familiarity with building automation or HVAC industries to improve technical understanding and team coordination.

  • Ability to work independently, managing tasks with moderate supervision.
