About this role
As a Coordinator Supervisor on the Centralized Business Processes Team, you will work under minimal supervision to supervise a team of booking, subcontracting, and process coordinators. You will book projects, issue subcontracts, and complete other processes along with your team. You will help coordinators solve complex problems and assist in gathering, verifying and processing documentation. You may contribute to recommending, developing, and implementing new processes and analyses. A successful candidate will be someone with a keen eye for detail, knowledge and experience with ALC business processes, a customer-first mindset, and a commitment to fostering a positive workplace with healthy morale.
Key Responsibilities
- Manage a team of Coordinators located across North America through example setting, training, KPI review, quality oversight, and performance coaching.
- Drive efficiency by ensuring the coordinator team is optimizing their time and that tasks are done correctly the first time.
- Work with customers on the sales, operations, and service teams to ensure minimal impact to businesses while enforcing controls and policies.
- Ensure proper documentation and communication to internal and external customers.
- Conduct interviews with potential coordinators and make recommendations for hiring.
- Allocate resources as needed to account for the ebb and flow of work different regions/businesses served by the centralized team.
- Oversee completion of required documentation for projects.
- Work within existing ERP system to accurately book and close projects and supervise coordinators as they do the same.
- Direct issuance of certificates of insurance and warranty letters per project specifications.
- Supervise and perform clerical activities; respond to complex email and phone inquiries with a high degree of professionalism.
- Review project contracts to verify project information and requirements.
- Verify data entry and monitor records maintenance.
- Maintain and update information in customer and vendor files up to and including address changes, pricing, products, delivery instructions, or other customer notes as needed.
- Ensure process processes are completed according to accounting controls, SOX guidelines, and other fraud prevention measures as required.
- Perform other duties as needed to ensure the success of the centralized team in the fulfilment of its goals and responsibilities as charged by management.
Required Qualifications
- High School Diploma or GED with 10+ years of experience in business operations (administration/processing) or finance in the contracting industry
- Clean and valid driver’s license
Preferred Qualifications
- Understanding of Insurance and/or Risk Management in contracting
- Experience in customer invoicing, AR, and collections efforts
- Knowledge of contract booking and subcontracting processes, especially within the ALC Field Organization with hands-on experience using ERP systems to manage project documentation and financial transactions
- Available for minimal travel (2-3 times a year) throughout North America
- Experience with Microsoft Office Suite required; ability to efficiently use Excel for data tracking and Word/Outlook for professional communication.
