About this role

Carrier is seeking a highly organized, proactive, self-motivated. and strategic professional to serve as the Planning and Project Specialist to the Chief Marketing & Communications Officer (CMCO). This role plays a pivotal part in managing CMCO’s functional operating rhythm and driving operational excellence. The Planning and Project Specialist will enhance productivity and execution by providing strategic fast-paced, high-performance environments, demonstrates exceptional discretion, high integrity and brings a passion for enabling leadership success.

This is an onsite role in Palm Beach Gardens, FL, requiring flexibility to extend beyond normal working hours as needed to support the executive team's demanding schedule.

Key Responsibilities

Operational Planning & Coordination

  • Manage the CMCO’s operating rhythm, including leadership meetings, stand-ups, offsites, and milestone events.
  • Develop and maintain the annual and quarterly functional calendar aligned with enterprise priorities.
  • Prepare agendas, coordinate presenters, compile materials, and ensure follow-ups are tracked and completed.
  • Serve as a liaison between the CMCO, leadership, and internal stakeholders to ensure alignment and execution.
  • Consolidate reports and materials for executive meetings, including business reviews.
  • Synthesize information, support the preparation of presentations, and escalate key issues when appropriate.
  • Track key deadlines, commitments, and follow-ups for the CMCO and leadership team.
  • Maintain organized and secure records of all correspondence, documents, and files.

Project & Program Support

  • Support certain PMO initiatives across Marketing & Communications, including timelines, deliverables, and cross-functional coordination.
  • Lead planning and execution of internal events, workshops, and recognition activities.
  • Manage ad hoc projects from research through deliverable creation.
  • Organize quarterly team-building activities and offsites, including logistics, budgets, and communications. Collect post-event feedback to improve future engagement initiatives.
  • Assist with purchase order (PO) creation and management of department invoices as needed.

Presentation & Communications Support

  • Draft, edit, and support the design of high-impact presentations, briefing documents, and reports for executive and internal audiences.
  • Support internal communications efforts, ensuring clarity, consistency, and alignment with brand tone and voice.
  • Apply journalism and storytelling expertise to elevate messaging and engagement.

Executive Scheduling & Time Management

  • Manage CMCO’s calendar and priorities. Proactively resolve scheduling conflicts and confirm meeting details in advance. Maintain up-to-date schedules, proactively resolve conflicts, and confirm meeting details in advance.
  • Schedule and manage all meetings, including recurring sessions. Prepare and distribute agendas, materials, and notes in advance.
  • Track key deadlines, commitments, and follow-ups for the CMCO and leadership team.
  • Act as a gatekeeper, prioritizing and organizing tasks, meetings, and requests to maximize executive efficiency.

Travel & Expense Management

  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, and dining.
  • Deliver comprehensive itineraries at least 48 hours before travel.
  • Submit and track expense reports for timely reimbursement and approval.

Confidentiality & Information Management

  • Handle sensitive information with the utmost discretion and maintain strict confidentiality on sensitive issues and matters pertaining to the executive and the organization.

Basic Qualifications

  • Bachelor’s degree
  • At least two years’ work experience in administration and/or project coordination

Preferred Qualifications

  • Bachelor’s degree in marketing or communications
  • Experience in large corporations
  • Flexibility to work outside standard business hours.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams).
  • Familiarity with Microsoft Copilot for productivity enhancement.
  • Strong English written and verbal communication skills.
  • Demonstrated skills in storyboarding and presentation development.
  • Proven ability to manage sensitive information with utmost discretion.
  • Solid problem-solving and project execution skills.
  • Ability to collaborate cross-functionally in a global organization.
  • Knowledge of Carrier’s organization and products.
  • Ability to thrive in a fast-paced and dynamic environment.
