About this role
- Support and facilitate the smooth operation of the Service Department
- Perform the communication, coordination, and administration tasks to assist Service Department in operating in accordance to ALC processes and standards
Key Responsibilities
- Answer, document or redirect phone calls, emails or texts related to service requests.
- Manage and maintain the daily schedules for all assigned Field Engineers.
- Schedule all T&M/billable service visits
- Ensure all preventive maintenance visit are scheduled and performed for each service agreement.
- Schedule 24 hours emergency service team and assist emergency service contracted customers as required (On Call Schedule)
- Maintain and update information in customer files up to and including address changes, pricing, products, delivery instructions, or other customer notes as needed.
- Notify customers of scheduled T&M/billable and PM dates visits.
- Communicate with field to determine the status of the projects they are working on and know each Tech working location all the time.
- Log and track all service work orders, and reconcile all open tickets for dispositions.
- Provide pricing upon request for parts and /or company resources in a timely manner.
- Provide parts quotes and order, as requested.
- Assist in the local monthly branch service agreement renewal process and book in ERP within 30 days of expiration.
- Invoice customers in a timely manner, target 30 day or less DTI.
- Work with collection department for collecting invoice and resolving disputes.
- All other duties as assigned
Basic Qualifications
- HS Diploma or GED
- 1+ years of experience as an office coordinator, administrator or manager
- 1+ years of experience with the Microsoft Office Suite
Preferred Qualifications
Other qualifications you may have that would be beneficial in this role include:
- Associate’s Degree
- Experience within Building Construction/HVAC Industry preferred
- Accounting, purchasing, receivables, and billing experience preferred
- Problem-solving skills and the ability to work independently required
- Excellent organizational and time management skills required
- Detail-oriented and able to multitask effectively required
- Strong written and verbal communication skills required
- Microsoft Dynamics Software experience is a PLUS
