We are seeking a highly organized, detail-oriented professional to lead and host customer visits, factory witness tests, and facility tours at our Charlotte factory. This role is critical in ensuring a seamless, engaging experience for customers and internal teams. The lead will oversee all aspects of scheduling, logistics, and on-site hosting, acting as the main point of contact from initial inquiry through post-visit feedback. The ideal candidate excels at both operational planning and personally guiding customers through their visit.

Key Responsibilities

  • Serve as the primary point of contact to initiate, organize, and host customer visits.

  • Lead customer tours, acting as the main host and guide while customers are on-site.

  • Schedule and manage customer appointments for factory witness tests and facility tours including ownership of cross-functional coordination for timing.

  • Coordinate all visit logistics, including date/time, room reservations, lab testing alignment, and hospitality arrangements.

  • Support virtual testing through preparing the test for customer viewing and supporting test communications with customers

  • Engage additional tour guides or request support from other teams for large or high-importance tours.

  • Prepare and distribute necessary documentation, briefing materials, and PPE for guests.

  • Distribute lab test results for certified tests and witnessed tests to all relevant stakeholders, ensuring timely and accurate communication and invoicing.

  • Arrange hospitality, including food ordering and welcome screen setup in the lobby.

  • Communicate visit details and expectations to all relevant internal and external parties.

  • Execute post-tour surveys, gather feedback, and maintain accurate records of customer visits.

  • Proactively identify and resolve scheduling conflicts, adjusting plans as needed.

  • Continuously seek feedback and implement improvements to enhance the customer visit experience.

Required Qualifications

  • Associate or bachelor’s degree.

  • 3+ years of experience in operations, product management, product marketing, sales, service, or engineering.

  • 1+ year experience in HVAC industry.

Preferred Qualifications

  • Associate or bachelor’s degree in business, operations, manufacturing, engineering.

  • Proven experience in scheduling, coordination, and logistics.

  • Experience in a technical or manufacturing environment.

  • Excellent organizational and time management skills.

  • Strong communication and interpersonal abilities.

  • Ability to work collaboratively with cross-functional teams.

  • Proficiency in scheduling software and Microsoft Office Suite.

  • Attention to detail and problem-solving skills.
