About This Role
The role supports service operations by coordinating daily technician schedules, dispatching / invoicing work orders, and supporting account managers with T&M work. The ideal candidate is self-motivated, attentive to detail, has strong organizational skills, and can leverage technology to enhance the communication and operational efficiency of the service branch.
Key Responsibilities
- Manage daily schedules for field engineers, ensuring prompt response to service requests and maximizing efficiency.
- Prepare, manage, and maintain work orders, and all related service documentation.
- Manage end-to-end invoicing processes for service workorders, including coordination with internal teams and administrative follow-up.
- Manage time and material invoices, and accounts receivable.
- Manage Purchase Orders (POs) throughout the account lifecycle.
- Support the creation, administration, and renewal tracking of service contracts.
- Act as the primary administrative point of contact for customers regarding service coordination, documentation, and invoicing matters.
Required Qualifications
- High School diploma or GED
- 2+ years of customer service experience.
- 1+ years of experience supporting customers via telephone and email.
Preferred Qualifications
- Experience in the HVAC industry.
- Experience with scheduling field service technicians.
- Excellent verbal and written communication skills.
- Strong organizational skills.
- Excellent attention to detail and accuracy.
- Experience with Microsoft Office.
- Experience with Salesforce and Microsoft Dynamics 365
