Seeking an energetic and detail-oriented Executive Assistant to help add value to our team by managing complicated calendar arrangements, booking travel, completing expense reports, and ensuring that strategic deliverables are met, and desired outcomes are achieved.
The selected candidate must be professional and capable of anticipating the needs of the leadership team. Someone who enjoys problem-solving and rises to challenges with a positive, can-do attitude while exhibiting strong judgment will do well in this role. The candidate should have familiarity with technology as well as a flair for communicating. Strong organizational skills, team-building aptitude, and an appetite for learning are required.
About this role
The Executive Assistant will work with management to determine project goals and priorities and will provide the support requirements including meeting planning and organization, event management and workshop coordination. The candidate should be focused on process improvements to improve performance at all times.
The ideal candidate will be able to manage clear priorities among project activities by providing project documentation and updates. The Executive Assistant will work on multiple projects simultaneously, engaging teammates as needed to produce accurate and timely work products, such as presentations and other meeting-ready materials.
The right candidate will have an inner drive to see projects through, and an open, honest approach to give visibility to impediments and tackle issues collaboratively. We have a global team, so flexibility in working hours is required.
This role will help seamlessly integrate cross-departmentally. Because this is a position that requires a high level of trust, we need someone who is a proven organizer, who will bring harmony to our team while pushing projects forward at a lightning-fast speed.
Key Responsibilities
- Heavy and constant calendar management with a keen eye for shifting priorities and a deep understanding of what is important and what can wait— prioritizing appropriately with little oversight needed.
- Meticulous and ethical expense reporting, handled on time and within company policies
- International and domestic travel booking, including itinerary creation and consideration in terms of scheduling; ensuring the Executives are supported “on the road.”
- Reservation coordination
- Correspondence management: write drafts on behalf of the executives as needed including thank you notes, emails, and holiday cards.
- Meeting, speech, and other Executive preparation including PowerPoint presentations, talking points, agendas, thought leadership articles and more.
- Event Management for team events and employee engagement activities.
- Provide a warm welcome on-site to greet guests and show them around, with a focus on hospitality.
- Manage desk and seating assignments.
- Handling supply orders and shipping logistics for the team.
Required Qualifications:
- Associate's Degree
- 5 + years of experience supporting Senior Level Executives
Preferred Qualifications
- Bachelor’s Degree
- Strong organizational skills: the ability to prioritize and manage multiple competing priorities with attention to detail and adaptability as needs and projects develop and unfold.
- Excellent written and oral communication skills. We use Microsoft Office 365, so all O365 product familiarity.
- Enthusiastic team player, excited to offer innovative ideas
- Excellent time management skills
- Self-starter mentality: someone who needs little oversight and works with dedication and commitment to the Executives and to the team.
- Skilled in meeting agendas, and meeting recaps (to highlight action items and follow-up points).
- Capable event and meeting planner, anticipating logistics with little to no oversight.
- Strategic, conceptual analytical thinking and decision-making skills.
- Adaptability and flexibility to manage deadline pressure, ambiguity, and change.
- A “can-do” attitude is everything. While maintaining professionalism and adhering to our own governance and Company policies, we strategically must think of ways to problem-solve, bridge gaps, bring people together, improve processes and push through challenging situations. The ideal candidate will enjoy this element of the role, finding it enjoyable to accomplish the “impossible.”
- Our team is in the process of adopting Agile methodologies, so the perfect candidate would have some familiarity with that and some familiarity with Change Management strategies as well.
- Preferred: IT Background to understand enterprise digital projects/initiatives
- Strongly Preferred: general business acumen
