About this role:
As an Executive Assistant/Workplace Experience Specialist; this role will primarily support the President of Sensitech and the Beverly, MA site location.
The ideal candidate possesses strong decision-making and problem-solving skills while being able to successfully manage and execute a wide range of administrative tasks. A proven track record of being able to effectively communicate and work collaboratively across all levels in a global organization, appropriately safeguard confidential information using discretion, and prioritize effectively across a multitude of assignments is required for this role.
This is an onsite role in Beverly, MA
Key Responsibilities:
- Perform a variety of advanced administrative duties, prioritize, and manage multiple tasks, often with short lead-time
- Provide clerical and general office support
- Proactively manage calendars while balancing needs across various stakeholders and coordinating meetings to optimize time, allowing leaders to work efficiently, adjusting based on changing priorities
- Assist with complex international travel needs to ensure work/travel visa compliance and manage short-notice changes which will occur when the leader is traveling
- Assist with the preparation of expense reports, aligned with company policy, and reconcile corporate credit card charges
- Manage meetings with internal staff and outside vendors, including coordination of conference rooms, needed equipment, refreshments, greeting invitees, and obtaining security clearance
- Plan off-site employee events and manage employee engagement activities in a comprehensive fashion, when needed
- Analyze complex information requests, determine the appropriate approach to gather and summarize data
- Consolidate reports and materials for meetings and customer visits
- Research, draft, and prepare correspondence, reports, and presentations
- Process payments to external vendors including setup and monitoring
- Screen visitors, mail, and telephone calls, handling and/or redirecting as needed
- Carry out special assignments that can be complex in nature, require problem-solving, and working with others, while maintaining the confidentiality
- Support site employee communications
- Support the HR team to manage employee experience programs for all employee types.
- Create a seamless experience for the onboarding and offboarding of employees at all levels. Supporting the HR team in various employee engagement activities and actively contributing to the HR goals and priorities.
- Play a lead role in building and strengthening campus relations locally.
- Actively support the HR team and play a lead role in implementing the yearly HR engagement calendar by partnering with the HR team.
- Along with the HR team, plan and lead the CSR (Corporate Social Responsibility) activities for the business. Engage with leadership and different stakeholders to implement the calendar and send out updates on a regular basis.
- Support the HR Team by being the face of HR for the Production Hourly employees for tasks not supported by Global People Services
- Additional ad-hoc special HR projects as assigned.
Required Qualifications:
- Associate degree
- 5 + years of experience as an administrative assistant supporting multiple executives at one time
Preferred Qualifications:
- Bachelor’s degree preferred
- Experience with Concur
- Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook
- Professional demeanor/presence, able to maintain confidentiality
- Capacity to work with urgent deadlines, change priorities and manage multiple high-priority assignments simultaneously
- Positive experience working in teams, ability to build rapport and influence outcomes
- Self-motivated with the ability to exercise initiative and work independently
- Attention to detail, while maintaining a sense of urgency and customer mindset
- Outstanding written and verbal communication skills
- Familiarity working across global locations and time zones preferred
- Extremely efficient, organized, and resourceful.
- The executive assistant must also be flexible and able to function well in a fast-paced environment.
- This individual will need to have great interpersonal skills to deal with many personalities. Strong decision-making skills and attention to detail are also all-important traits for the executive assistant to possess
