About this role:

Support field operations by scheduling and dispatching technicians, managing work order flow, and owning parts receipt and basic warehouse coordination to ensure seamless service delivery.

Key Responsibilities:

  • Schedule and dispatch daily technician work orders for repairs, ensuring scope, timing, and priorities are clearly communicated.
  • Optimize technician routes and job prioritization to align with repair urgency and efficiency goals.
  • Partner with the Service Manager and Service Operations Lead to prepare and maintain the bi-weekly technician schedule.
  • Proactively distribute work orders each day and adhere to scheduling guidelines and priority rules when loading the schedule.
  • Track and assist in managing non-productive technician time, capturing causes and helping identify mitigation.
  • Receive all parts deliveries, inspect for accuracy/damage, and coordinate their placement and communication to relevant stakeholders.
  • Maintain warehouse organization, including staging parts for pickup and ensuring inventory areas are orderly.
  • Coordinate forklift deliveries and internal movement of large parts; ensure timely handoff to field technicians.
  • Assist with general office administration: answering phones, receiving/distributing mail, and supporting other day-to-day operational needs.
  • Document all parts and scheduling communications clearly in the appropriate systems (Salesforce, internal trackers, etc.).
  • Other duties as assigned to support team and operational effectiveness.

Required Qualifications

  • High school diploma or GED.
  • 1+ years of experience scheduling or coordinating a field workforce.
  • 1+ years of experience supporting customers via telephone and email.
  • Ability to perform physical tasks associated with warehouse work (e.g., lifting moderate loads, walking warehouse floor).

Preferred Qualifications

  • 2+ years of customer service experience.
  • Basic familiarity with warehouse/parts handling or demonstrated aptitude to learn (e.g., receiving, staging, tracking).
  • Strong verbal and written communication skills.
  • Organized, detail-oriented, and able to manage multiple moving pieces.
  • Comfortable using digital systems for documentation and updates (e.g., CRM or internal scheduling tools).
  • Experience in the HVAC or field service industry.
  • Experience scheduling field service technicians.
  • Experience with Salesforce, SAP, or similar CRM/ERP systems.
  • Proficiency with Microsoft Office (especially Excel and Outlook).
  • Forklift certification preferred but not required (training will be provided).
  • Prior exposure to inventory/parts logistics or dispatcher coordination.
